Construction Administrator   Location:   Grand Rapids, MI   Responsibilities We are seeking a detailed, experienced, full-time Administrator as an integral member of our local project team who will be responsible for assisting us in delivering our construction projects of varying size and complexity.  The Administrator will be responsible for contracts, related paperless document tracking, processing and producing payment applications and invoices, and assisting construction managers as needed in researching data and contractor information.  The individual needs to be a team player, as well as a self-starter.   Essential Functions

  • Prepare, issue, and track client and subcontractor contracts, including related insurance documents
  • Assist Construction Managers with bid document processing to prepare agreements
  • Enter data in corresponding software for tracking
  • Accurately communicate (both written and verbal) project information to the client, subcontractors, and project team to obtain needed documents and materials
  • Prepare, process, and track letters of intent, notices of commencement, purchase orders, and change orders
  • Process subcontractor applications; as well as prepare and issue applications/invoices for payment to clients
  • Obtain and track sworn statements and related lien waivers from subcontractors and vendors
  • Request checks, create letters and waivers for making payments to subcontractors and vendors
  • Prepare information and obtain closeout documentation
  • Be aware of project budgets
  • Inform construction manager and other team members of project status and issues that may impact the project
  • Provide support to field staff
  • Perform other duties as needed

Minimum Physical Requirements Occasionally exposed to light lifting, sitting, and walking. Will have normal office working conditions and be required to use a computer. Accommodation may be made for some of these physical demands for otherwise qualified individuals who require and request such accommodation.   Desired Education Relevant work experience.   Desired Skills/Experience

  • Experience in construction extremely helpful.
  • Experience supporting a Construction Manager in the delivery of construction projects.
  • Background in accounting and contracts.
  • Proficient in Excel, Word, and Outlook.
  • Experience in Procore, ConsensusDocs, and BST extremely helpful.
  • Familiarity with construction methods, lien laws, and insurance documents.
  • Proven ability to work effectively both independently and in a team based environment.
  • Demonstrated willingness to be flexible and adaptable to changing priorities.
  • Strong multi-tasking and organizational skills.
